EXISTING ORGANIZATIONS

​​Welcome to the SGA Finance Committee (SGAFC) page. You can learn more about the committee and see a list of our members here.
A student organization can come to the SGAFC for either an Annual Budget or a New Money Request.

1) Annual Budgets
  • Organization propose annual budgets reflecting all of their expenditures for the year.
  • Annual budgets are approved at the end of the spring semester in preparation for the next academic year (new organizations can apply when they are approved by the SGA Student Affairs Committee).
  • While the typical annual budgeting season is the prior spring semester, we accept annual budget submissions throughout the school year.

2) New Money Requests (NMRs)
  • NMRs supplement an org's budget if it is insufficient or when new programming
    opportunities arise.
  • We accept NMRs throughout the year until April 1.

BUDGETING PROCESS

To apply for funding:
  • Schedule a meeting with the SGAFC. Our meetings are on Wednesdays from 6:00-7:30 PM and will be conducted via Zoom until further notice.
  • Read the SGAFC Policies to be informed about the rules.
  • Create your budget using one of these two templates:
    • 2020-2021 Annual Budget Template
      • Here's an example.
    • ​2020-2021 New Money Request Template
      • Here's an example.
  • Submit your budget via Presence. Here is a video tutorial.
  • Send your budget to sgafc@middlebury.edu at least 24 hours in advance.

Other details: 
  • If you are an organization within the Middlebury Intercultural Leaders Coalition (MILC), Service Cluster Board (SCB), or Religious Life Cluster Board Flex Fund (RLC), you only need to collaborate with your organization category coordinators to request a budget.
  • Even if you do not have a fully-formed budget or plan for the year, please come see us. These meetings are mandatory.

Some key factors that go into SGAFC’s decision-making process include:
  • Relevance to the mission of the club
  • Programming success
  • Club leadership
  • Demonstrated forethought & planning
  • Club membership & campus impact
  • Comparison with similar groups

IMPORTANT POLICIES

  • Transportation is reimbursed at the following rate:
    • Personal Car: Round-trip miles x Number of cars x $0.30
    • College Van: (Round-trip miles x Number of Vans x $0.40 ) + (Number of Vans x Number of days x $15)
  • Non-traditional forms of transportation (Zip-Cars, Ubers, Train, etc) must be pre-approved by the SGAFC and explicitly indicated on your budget. It will not be reimbursed otherwise.
  • Trips longer than 9 hours require submission of a trip proposal to the Student Activities Office (SAO) a minimum of 30 days prior to the proposed departure date. Reserve vans far in advance because they are in short supply. ​Please visit the SAO website for more information and rules on traveling.
  • We approve budgets line by line. An organization must notify its SGAFC Liaison before moving funds within its budget.

ORGANIZATION LIAISONS

SGAFC liaisons are your primary resource for any questions or concerns regarding budgets, spending, cooperative events, etc. This list is updated each semester as our committee graduates and accepts new members. Find yours here.

If you are an organization within the Middlebur

OFF-CAMPUS FOOD REIMBURSEMENT

The SGA cannot reimburse food purchased off-campus, unless it is the primary purpose of the event. However, we have earmarked a certain amount of funding for students on financial aid. Please see the following document for more information.
